HR Information Systems (HRIS)

Figure 1:What is HRIS?

Introduction

Software systems known as HRIS keep track of personnel information and HR-related duties. They are a tool for human resources management that tracks data about workers, hiring new hires, and overall business reporting. In addition, they support HR departments with payroll processing, employee certification tracking, performance metrics monitoring, and other tasks.

What is an HRIS?

Erik van Vulpen, Neelie Verlinden (2024) A Human Resources Information System, or HRIS, is a software solution that is used to collect, manage, store, and process an organization’s employee information. Essentially, HR teams use an HRIS to work more efficiently and make more data-driven decisions.

In most cases, an HR information system includes the basic features needed for end-to-end HR management. This system helps companies manage and automate core HR processes, such as:

  • Employee data management
  • Benefits administration
  • Payroll processing
  • Time and attendance management
  • Reporting and analytics
  • Employee self-service

HRIS Benefits

Fletcher Wimbush (2023) At its core, HRIS systems improve your business’s internal operations processes. They can help you

  • Save time and labor costs
  • Make more data-informed decisions
  • Allow employee self-service to create a better user experience
  • Allow your business to grow
  • Maintain compliance
  • Human capital management
  • Improve overall record keeping

What are the differences in HRIS vs HRMS vs HCM ?

Oracle (2024) The terms HRIShuman resources management system (HRMS), and human capital management (HCM) are often used interchangeably. However, there can be subtle differences between the three, depending on which features a company chooses to enable.

HRIS, originally referred to a basic system of keeping administrative employee records. As HR functions became more complex, HRIS incorporates processes such as talent acquisition, recruitment, and ongoing employee data management and processing.

HRMS, came into use as organizations began to use increasingly sophisticated software and automated tasks to perform their HR functions—though it is still used interchangeably with HRIS. Today’s HRIS may include payroll management and time and labor.

HCM, Refers to a broader or umbrella solution that covers every aspect of the HR function and workforce management. Additional functionality includes advanced talent management tasks such as performance management, succession planning, compensation planning, strategic workforce planning, and every other HR planning activity. HCM covers the range of HR functions whether they are data-based, transactional, or strategic.

Future of HRIS technology

Alexander S. Gillis (2017) HRIS technology is constantly evolving. While automated HRISes aren't new, the features and functionalities of the systems are expected to become more efficient and useful to cater to the growing trend of remote work and globalization. When employees work in different locations, departments and specializations, having the best HRIS in place is essential.

The following are some evolving trends with HRIS technology:

      ·         Artificial intelligence (AI) and machine learning (ML).
·         Performance management.
·         Compliance and regulations.
·         Software as a service.
·         Advanced integrations of HR systems.
·         Predictive analytics for workforce planning.
·         Employee self-service.

Conclusion

The success of your business can be attributed to the empowerment of your workforce through an appropriate HRI system. Choosing the best HRIS will be made easier if you are aware of all the HR procedures and the requirements of your business.
